Note: These terms and conditions do not apply to organisations where we have a separate commercial agreement in place.

In order for us to create the best programmes for your organisation, we need to understand your needs; therefore honest two-way communication will assist us to work in the best interests of your organisation.
All prices are exclusive of GST.
All prices are in New Zealand dollars and may be paid for by direct credit to bank account [shown on all invoices].
Once the programme, activity or service has been agreed to, an order confirmation will be sent to you for your signature.
A deposit is to be paid within 5 working days of receipt of the order confirmation. Please see your proposal for your deposit amount. This deposit guarantees your chosen dates (subject to weather cancellation as noted in clause 8 below) and is non-refundable.
The final payment is due immediately following the service and is to be paid no more than 5 working days after the service is complete.
You will receive two invoices for the service, based on the agreed order confirmation. The first invoice is for the deposit and the second invoice is the final payment of the total amount.
The booking is not guaranteed until the order confirmation and the deposit are received.
If you do not make payment in full within five working days after the service is complete, we reserve the right to charge interest on the outstanding balance at the rate of 2.5% per month, payable on a daily basis from the due date. We also reserve the right to charge you for all expenses (including solicitor/own client legal costs) incurred by us as a result of any default in payment.
You will be contacted by your account manager no later than three working days before an event to ascertain final numbers attending your event. Once the job is confirmed for a certain number of people there will be no refunds or lower prices for reduced numbers actually attending. Note that some jobs are not quoted on a per person basis and therefore if the numbers reduce, the price may not reduce accordingly.
Once the job is confirmed additional participants will be charged at the per person rate when they can be accommodated.
Once an order has been accepted in writing by us and the deposit is paid, then cancellation terms apply. Cancellation fees are based on the agreed price for the service as stated on the order confirmation.
Cancellation includes major amendments to the scope such as a change in date, a change in the number of participants or changes to the service content. (Please see the notes below.)
Service - As referred to in the Cancellation Terms above, 'Service' applies only to the same service format and content being rolled over to a new date. Any changes to the format of the service may incur additional costs depending on the changes and the work input that is required to deliver a new or amended service. We will give you any amended costs in writing.
On receipt of the deposit payment, Rock & Ice Aotearoa Ltd will confirm your order and the date for the service for the number of participants stated.
Where there are additional costs such as venue hire, transport, food etc, these will be invoiced separately and payment is due within 5 working days of receipt of invoice.
The price quoted for the services is for inclusions listed on the order confirmation form or in the proposal. Any extra service you request will be charged at an additional cost. We will then send you a new invoice, which will result in an amended order confirmation being needed from you.
Rock & Ice Aotearoa Ltd reserves the right to cancel or amend a service due to inclement weather or unforeseen circumstances. We will firstly suggest a contingency programme that will deliver the same objectives for the same day. If a contingency is not available, the service will be delivered on a new date that is agreeable to both parties. No additional charges will be incurred, unless you order additional services, and no refund of your deposit will be given.
Decisions made by Rock & Ice Aotearoa Ltd will be made after consulting with you, and will be made in the best interests of the group and their safety. Our decisions will be binding once we have consulted you and made them.
